The short version: We collect the minimum we need to deliver our marketing services — your business contact info and the data needed to manage your Google Profile, website, and customer-facing tools. We don't sell your data, ever. Payments are handled by Stripe, so we never see your full credit card number. You can cancel anytime and we'll delete your data on request.

Tri County AI Solutions LLC ("Tri County AI Solutions", "TCAI", "we", "us", "our") is a marketing agency for local home-services contractors based in Bloomington, Illinois. We are organized as a limited liability company in the State of Illinois.

3. Information We Collect
3.1 From Prospective Customers (Inquiries)
- Your name, business name, and contact information (email, phone)
- Information you share during a consultation (current marketing setup, goals, budget)
- Voluntary information you provide via our website forms
3.2 From Active Customers (Service Delivery)
To provide our services, we typically need access to:
- Your business identity, license info, address, hours, services list
- Photos and videos of your work, your team, and your business
- Manager-level access to your Google Business Profile (you grant this; we never request your password)
- Domain name and hosting details for your website
- Your business phone number (for missed-call text-back automation)
- Customer review platforms (so we can respond on your behalf)
- Email addresses or phone numbers of your customers (when you provide them, e.g., for review requests after a job)
3.3 Payment Information
All payments are processed by Stripe. We never see, store, or have access to your full credit card or bank account information. Stripe provides us only with confirmation that your payment succeeded or failed, plus the last 4 digits of your card for our records.
3.4 Website and Communication Data
- IP address, browser type, device info (standard server logs)
- Pages visited on our site
- Email open and click data (if you receive emails from us)
- Phone call records (we may record calls for quality and training — you'll be notified at the start of any recorded call)
4. How We Use Your Information
We use the information we collect to:
- Provide and deliver the services you've purchased
- Communicate with you about your account, billing, and service updates
- Respond to inquiries and provide customer support
- Improve our services based on aggregate usage patterns
- Send occasional marketing communications (you can unsubscribe anytime)
- Comply with legal obligations
- Detect and prevent fraud or abuse
5. How We Share Your Information
We do not sell your personal information. Ever.
We share information only with these third parties, and only as necessary to operate our business:
- Stripe — payment processing
- Google — when we manage your Google Business Profile on your behalf
- Brevo / similar — email delivery for marketing communications and customer review request texts
- Twilio / similar — SMS delivery for missed-call text-back and review requests
- Netlify, Supabase — website hosting and database for your service tools
- Phone service providers (e.g., Quo) — for our missed-call text-back service
- Your end customers — when we send a review request text on your behalf, your end customer sees it from your business
We may also disclose information if required by law (subpoena, court order), to protect our legal rights, or to prevent harm.
6. Data Retention
- Customer account data is kept while you are an active customer
- If you cancel service, we retain your data for 30 days in case you want to reactivate, then delete most of it
- We retain billing records, invoices, and tax-related documents for 7 years as required by US tax law
- Anonymous, aggregated data may be kept indefinitely for analytics purposes
7. Your Privacy Rights
You have the right to:
- Access the personal information we have about you
- Correct inaccurate or incomplete information
- Delete your account and most of your data (some records we must keep by law)
- Export your data in a usable format
- Opt out of marketing communications (unsubscribe link in every email)

7.1 California Residents
If you live in California, you have additional rights under the CCPA/CPRA, including the right to know what personal information we collect, the right to delete your information, and the right to non-discrimination for exercising your rights. We do not sell your information.

We use industry-standard security practices including:
- HTTPS encryption for all data in transit
- Access controls limiting who on our team can access customer data
- Two-factor authentication on critical service accounts
- Regular security audits and vendor reviews
No system is perfectly secure. If we discover a data breach affecting your information, we will notify you within 72 hours as required by law.
9. Your Customers' Data (When We Manage Reviews / Texts on Your Behalf)
When we send review request texts to your customers on your behalf, you are responsible for ensuring you had appropriate consent to text those numbers. We act as a service provider on your behalf, not as a controller of that data.
10. Cookies
Our website uses essential cookies for functionality and basic analytics. We do not use third-party advertising cookies.
11. Children
Our services are intended for business owners (adults). We do not knowingly collect information from anyone under 18.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email at least 30 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision.
